Executive Assistant (EA) to the President (Head Office - Concord)

AQUATECH is a complete service provider of specialized Pumping Services and Environmental Equipment for fluid handling applications. While mostly known for our construction dewatering, bypass pumping and related services, we also offer a complete line of specialized pumping equipment including diesel, hydraulic and electric powered centrifugals, electric submersibles, light tower and diesel generators.

The Executive Assistant is a member of the Corporate Aquatech team who will work and report directly to the President of Aquatech to provide support and assistance at an administrative level. The EA is responsible for communicating to internal departments on behalf of the President, following up to ensure project goals, cost budgets, deadlines and processes are being met. The EA will also provide superior customer service to external clients in an efficient and timely manner, as well as perform general administrative duties as outlined below.

Job Responsibilities

  • Handle administrative details on designated projects – set-up templates and perform follow-up with department administrators and managers to ensure deadlines, processes and objectives are being met and report back to President
  • Coordinate work flow with other department administrators and managers to ensure that  files, reports, proposals being provided to the President are organized and accurate
  • Maintain processes and procedures to ensure consistent performance of routines and reporting
  • Interact with internal departments and external clients on President’s behalf, as requested, via face-to-face, email or phone
  • Prepare purchase orders, expense reports, business plans and correspondence for President’s signature
  • Schedule internal and external meetings – set-up and take-down meetings (book facilities, refreshments, lunch etc.)
  • Prepare and circulate meeting agenda’s in advance
  • Record minutes of meetings where necessary
  • Ensure President has all necessary files and documents for meetings
  • Arrange travel and accommodations through internal or outside agents
  • Work with department administrators to assist in updating corporate database to ensure all contacts are entered in full, are accurate and up to date
  • Research information as requested on various projects
  • Assure discreet handling of all business – treat all information as confidential

Qualifications and Required Experience

  • Attention to detail – Strong organizational and computer skills
  • Strong interpersonal, customer service  and time management skills
  • Minimum 3 years experience in a fast paced customer/client service environment
  • Ability to follow direction as well as think and act independently to meet deadlines and goals
  • Certificate/diploma in administration an asset
  • Knowledge of sales and rental services an asset
